Should you submit your resume as PDF or DOCX?
Reviewed
Submit the format the employer requests. If both PDF and DOCX are accepted, check both exports and choose the one that preserves your content and reads correctly in the application. Neither extension guarantees successful parsing or an interview.
Start with accepted formats
Check the upload field and the job instructions before exporting. A portal may accept a file type without extracting every field correctly. After upload, review any name, employment, or education fields it fills automatically.
If the employer asks for an editable document, provide DOCX. If it specifically asks for PDF, provide a text-based PDF. Do not rename a file extension to convert the document.
Inspect the actual exported file
Open the file outside the editor you used to create it. Check page breaks, dates, bullet symbols, links, and whether a heading has been separated from the section it introduces. For DOCX, be aware that fonts and application settings can affect layout.
For PDF, try selecting and copying the text. A scanned image can look correct while offering no usable text layer. A simple layout with clear sections is a sensible starting point, but always inspect the real output.
Use extraction as a diagnostic
Paste copied text into a plain-text editor or use a resume text-extraction tool. Confirm that your name, contact details, role titles, dates, and bullet points are present and in a sensible order.
A successful extraction in one tool is evidence about that tool, not certification for every employer’s system. Greenhouse documents several possible parsing problems, including information placed in headers, footers, or text boxes. If your file has problems, simplify the layout and test again.
Keep a clean final copy
Use a filename that identifies the application without personal data beyond what you intend to share. Keep the editable source, the submitted export, and the job description together.
If a portal cannot read your file, try another accepted format and correct the application fields manually where allowed. Do not assume a formatting issue means automatic rejection, and do not pay for a claimed universal ATS pass guarantee.
